Catch a Duplicate Invoice Before It Gets Paid Twice

Every document is checked against what’s already in the system — an exact re-upload of the same file, or a re-scan of the same invoice — and flagged for review before approval, not after.

The manual process breaking your workflow

Manual document processing creates bottlenecks at every stage of the accounting workflow.

The same invoice gets forwarded by two people, or uploaded once by email and once manually, and both copies get processed as if they’re new.

A vendor re-sends an invoice that was already paid, and nothing catches it until the bank statement doesn’t match.

Catching a duplicate after it’s posted to QuickBooks means voiding an entry and explaining what happened.

Spotting a duplicate by eye means remembering every vendor, amount, and date already in the system — nobody does this reliably at volume.

A double payment is money out the door that has to be clawed back from a vendor, if it can be at all.

ClarionOps eliminates all of this — one workflow from submission to accounting sync, with approval controls at every step.

Two ways a duplicate gets caught

ClarionOps checks every new document two ways. First, an exact match — the identical file content, re-uploaded or re-emailed, regardless of filename. Second, a fuzzy match — the same vendor with a matching invoice number, or the same vendor with an amount and date close enough to be the same bill re-scanned. Either way, the document is flagged before approval, with a direct link to the original so a reviewer can compare and decide.

  • Exact match: identical file content, regardless of filename
  • Fuzzy match: same vendor + invoice number, or same vendor + amount and date close together
  • A flag isn’t a rejection — a reviewer can dismiss it with a reason, logged like any other decision

What changes when you automate

The same work — done by the workflow, not by hand.

Before
After

Duplicates caught after they’re approved and posted, if at all

Flagged automatically before approval, with a link to the original

No way to tell a re-scan from a genuinely new invoice

Matched by vendor, amount, and date — not just an exact file match

A reviewer has to remember every invoice already in the system

Every new document is checked against everything already on file

False positives mean re-keying or silent manual overrides

A reviewer dismisses a false flag with a reason — logged, not silent

The full workflow, automated

Every submission moves through the same pipeline — from submission to accounting sync.

01

Submit

Upload a photo, forward an emailed invoice, or enter your own — like hours worked.

02

Extract

If it’s an image, structured data is pulled automatically — vendor, dates, amounts, line items.

03

Approve

A project manager may review first. Accounting always reviews before anything moves forward.

04

Map & Sync

Once approved, entries map to your QuickBooks vendors and accounts and sync directly.

Control built into every step

Automation does not remove control — it enforces it.

Role-Based Approvals

Define who reviews what. Only authorized approvers can advance entries through the workflow.

Full Audit Logs

Every document, mapping decision, approval, and rejection is logged with timestamp and user.

Controlled Posting

Nothing reaches your accounting system without passing through the defined approval workflow.

Review Before Approval

Approvers see the full submitted document — vendor, amounts, line items — before signing off. Mapping to QuickBooks happens as its own step, after approval.

Connects to your accounting system

The workflow layer sits between your documents and your accounting system. Approved entries sync automatically.

QuickBooks Online

Bills, purchases, and vendor credits sync directly. Vendor and account mapping resolves against your actual QuickBooks data.

Built to Extend

The mapping and approval workflow is designed to connect to additional accounting platforms. QuickBooks Online is available today.

Approval Before Sync

Nothing posts to your accounting system without explicit approval. The integration layer enforces the approval workflow as a gate.

Who this workflow serves

Built for teams where document volume is real and bookkeeping bandwidth is limited.

Accounts Payable Teams

Teams processing invoices from the same vendors repeatedly, where a duplicate is easy to submit and hard to catch by eye.

Email-First Teams

Businesses where the same invoice can arrive twice — once forwarded, once sent directly by the vendor — through the inbound email pipeline.

Bookkeeping Firms

Practices managing several clients who need duplicate protection applied consistently, without relying on one person remembering every invoice.
